If you are a Seller (supplier or vendor) and your Candex order shows an Early Pay flag in its payment terms, you are scheduled to be paid on an accelerated timeline compared with standard payment terms, which are typically 30–60 days. Early Pay is a payment term option available on certain orders.
What stays the same
Early Pay orders go through the same three stages as any other order:
- Verification. Candex verifies your invoice as usual. Make sure the invoice meets all requirements before you upload it.
- Buyer approval. The buyer must still complete the goods receipt (GR) and approve the Candex invoice in their e-procurement system (Coupa, Ariba, SAP, Basware, or similar). Early Pay does not bypass these steps: if either one is pending, the payment cannot be released, even under Early Pay terms.
- Payment. Once the funds are received, Candex pays you to your registered bank account.
Why has my Early Pay payment not arrived yet?
The most common reasons, in the order they occur:
- Your invoice is still in verification. Candex must complete verification before the Candex Invoice is issued to the buyer.
- Your invoice was rejected. Correct it and resubmit it through the link in the rejection email or through the Candex platform. A rejection delays the whole Early Pay timeline.
- The Buyer has not completed goods receipt or invoice approval. Funds cannot be released until the Buyer completes these steps internally. This is the most common cause; Candex refers to it as an Early Payment Failure.
- The Buyer needs to update the PO. A change to the PO amount or quantity stalls the Early Pay process until the update is confirmed.
- The financing partner is still processing. When Supply Chain Financing is involved, the partner's processing time can affect when funds reach Candex.
NOTE: An “Early Payment Faillure” is not the same as Candex failing to pay a Seller on time, nor are these classified as “overdue” payments. The payment terms are still set to Candex’s standard payment terms, as noted in your order details. Early Pay is a benefit we make available for our Buyers and Sellers whenever possible to facilitate a smooth and quick transaction process, but it is not a guarantee of payment prior to the standard terms set forth in the order.
What happens when an Early Pay order runs into a problem
If an Early Pay order encounters a problem, Candex Customer Support is alerted automatically (an Early Payment Failure), investigates the cause, and coordinates with the Buyer and, where relevant, the financing partner. Early Pay orders are handled with priority. On your side, make sure everything you control is complete: a valid invoice uploaded, and any corrected invoice resubmitted.
